Why this work has to happen before deployment
When users encounter a Copilot that surfaces documents they should not see, gives answers that contradict each other, or returns information that is months out of date — they stop trusting it. That loss of trust is not easily reversed. You cannot issue a patch note that restores user confidence in an AI tool that has already failed them.
The readiness work is not a prerequisite that delays the benefit. It is the thing that makes the benefit real. The organisations that get Copilot right deploy it into an environment that was genuinely ready — and their users notice the difference on day one.
How do I know if our environment actually needs readiness work?
If your Microsoft 365 environment has been in use for more than two years without a dedicated governance review, it almost certainly has readiness gaps that will affect Copilot performance. The specific question is not whether issues exist — they almost always do — but how significant they are and how long they will take to address. In 30 minutes we can give you a preliminary read based on your environment’s age, size, and governance history.
How long does the readiness work take?
For a mid-sized organisation with a moderately governed Microsoft 365 environment, the full engagement — from assessment through pilot completion — typically takes three to five months. Smaller, recently governed environments move faster. Larger or more complex environments, or those with significant permission sprawl, take longer. We give you a specific estimate after the Phase 1 assessment, when we have seen your environment.
Can we run Copilot and do the readiness work simultaneously?
We recommend against it for most organisations. Running Copilot in a live environment while remediating permissions and restructuring content creates a moving target — and means users experience Copilot at its worst precisely when first impressions are most important. If there is genuine business pressure to move quickly, we can design a phased approach: resolve the highest-risk issues first, deploy Copilot to a contained pilot group, and continue the broader readiness programme in parallel.
We already have Microsoft Purview configured. Does that mean we are ready?
Having Purview is not the same as having deployed it effectively. In most environments we assess, Purview is partially configured — some labels exist but coverage is incomplete and the labelling framework was not designed with Copilot’s specific data boundary requirements in mind. We assess your Purview configuration as part of Phase 1 and give you a precise picture of what is working, what needs extending, and what needs redesigning.
Does Copilot access Teams messages and conversations?
Yes. Microsoft 365 Copilot accesses Teams messages, channel conversations, meeting transcripts, and files shared within Teams — subject to the user’s permissions. Teams is frequently the most ungoverned part of the Microsoft 365 estate and increasingly the place where the most sensitive conversations happen. Our assessment covers Teams governance specifically, not just SharePoint and OneDrive.
What is the connection between Copilot readiness and our SharePoint information architecture?
It is direct and significant. Copilot retrieves more accurately from well-structured content. A SharePoint environment with a coherent hub architecture, consistent metadata, and logical site taxonomy gives Copilot meaningful signals about what content is, where it belongs, and how authoritative it is. A disorganised environment — content spread across hundreds of unconnected sites with no taxonomy and inconsistent metadata — produces unreliable retrieval and inconsistent answers regardless of how well permissions are configured. Both dimensions need to be addressed for Copilot to work reliably.
